Most clients (and photographers!) don’t think about a contract until something goes wrong. A missed deadline. A misunderstanding about how many photos they get. Or a shoot that turned out to be three times bigger than planned.
A contract with an event photographer in Warsaw helps to summarize all your emails, calls and messages and protects both sides.
When I work with Polish and international companies and organizations in Warsaw, I always prepare a written agreement before the shoot. I have my own, but big companies usually have their own as well. And we adapt it for our needs.
It doesn’t have to be long, but it has to cover the right things.
What a good contract with an event photographer should include:
- Scope of work: location, date, duration, type of events
- Minimal number of edited photos and delivery time
- How the photos can be used — internal, social media, advertising
- Payment terms and what happens if the shoot changes
- Who owns the photos after delivery
That last point may surprise some clients. In Poland, copyright stays with the photographer by default — unless the contract says otherwise. If you need full rights to use the photos freely, this has to be written down.
Over the years I’ve read many different contracts. Some of them had none of these things. Once I received a contract with no mention of photography services at all. Another one said the service was free — even though we had agreed on a payment.
A clear contract protects both sides. It saves time, reduces misunderstandings, and makes the whole process more comfortable.
